Privacy Policy

1. Who we are

FRRO Form-C AutoFiller ("the extension", "we", "us") is a browser extension operated by LeoTechApps, based in Fort Kochi, Kerala, India. It reads passport and visa images and helps you fill the Form-C on indianfrro.gov.in.

FRRO Form-C AutoFiller is not affiliated with, endorsed by, or connected to the Government of India, the Bureau of Immigration, or any FRRO office.

2. Data we collect

• Account details: your email address, name, and hotel/homestay name. If you sign in with Google, we receive your email address, name and profile photo link from Google. We store the photo link only to show your picture in the extension.
• Sign-in tokens: kept in your browser so you stay signed in.
• Saved form defaults: the default Form-C values you choose to save in Settings.
• Usage and billing: your plan, remaining autofills, and payment records (Razorpay payment IDs, what you bought, amounts and refunds). We never see or store your card, UPI or bank details; Razorpay handles those.
• Passport and visa images of your guests, and the fields read from them (name, passport number, nationality, dates, visa details, and the guest photo).
• Upload records: for each upload we keep the file name and the time, linked to your account. These records do not contain the image.

3. How passport and visa images are processed

1. The extension uploads the images over an encrypted connection to our private cloud storage.
2. An AI reading service reads the text from the images. We only use AI providers that do not collect the images or train on them.
3. The images are deleted from our storage right after they are read, whether or not the extraction succeeds. An upload that is never processed (for example, if you close the extension before extracting) is never read and is removed during routine clean-up.
4. The extracted fields and the cropped guest photo are sent back to your extension. We do not store them on our servers.
5. The extension keeps the current extraction in your browser only until you press Start Over, sign out, or close the browser.

Autofill happens locally in your browser on indianfrro.gov.in. The extension fills the form for you, but it never submits Form-C. You review and submit it yourself.

4. Why we use your data

• To create your account and sign you in (including sending one-time email codes).
• To read passport and visa images and fill Form-C on your request.
• To track your plan and autofill balance and to process payments.
• To send service emails: sign-in codes, payment receipts, refund notices and plan expiry reminders.
• To keep the service secure and prevent abuse.

We do not sell your data, and we do not use it for advertising.

5. Who we share data with

We share only what each service needs to do its job:

• Cloud hosting and storage provider: runs the service and holds the images for the short time before they are read.
• AI reading service: receives the passport and visa images to read the text.
• Email service: sends sign-in codes, receipts, refund notices and plan reminders to your email address.
• Razorpay: processes payments.
• Google: only if you use "Sign in with Google".

Some of these services may process data outside India. They handle it under their own privacy and security terms.

6. Your consent and your guests' consent

You use the extension to process your guests' documents. You are responsible for having a lawful basis, such as their consent, to share their passport and visa details with us for filing Form-C.

7. Retention

• Passport and visa images: deleted right after they are read (see section 3).
• Extracted fields: not stored on our servers.
• Account details, saved defaults, upload records, usage and payment records: kept while your account exists. Deactivating your account in Settings disables it but does not erase this data. To have it erased, email us (see section 8). We may keep payment records where the law requires us to.
• Server logs: kept for a limited period for security and troubleshooting. They do not contain document contents.

8. Your rights

Under India's Digital Personal Data Protection Act, 2023, you can ask us to:

• tell you what personal data we hold about you and how we use it;
• correct or update inaccurate data;
• erase your data;
• handle a complaint (grievance).

Grievance contact: LeoTechApps, support@leotechapps.in. We aim to reply within 30 days. If you are not satisfied, you can escalate to the Data Protection Board of India.

9. Security

Data travels over encrypted connections (HTTPS). Images are stored privately, and each user can access only their own uploads. Sign-in tokens are kept out of reach of web pages. No system is perfectly secure, but we limit what we keep to reduce risk.

10. Children

The extension is for businesses and adults. It is not meant for anyone under 18, and we do not knowingly create accounts for them.

11. Changes to this policy

We may update this policy. We will change the effective date above and, for important changes, tell you in the extension or by email.
